Unified Messaging in the Web View allows you to manage your voice mail, Record-A-Call, and fax messages.
There are two ways to listen to your messages: over the PC speakers or over the phone using the Call Me/Meet Me feature.
To play a message over the PC speakers:
In the Messages tab, select the message.
Click the Play icon or the message link.
Select a play option:
To listen to the message immediately, click Play.
To save the message to your system before playing it, click Save and then click Open. You may listen to the message again by opening the Downloads folder and clicking on the appropriate .wav file.
Note: The above-noted options are available with Microsoft Internet Explorer and Mozilla Firefox. If you are using Google Chrome, the message is automatically downloaded as soon as you click the Play icon or message link. You may then play the message by clicking on the appropriate .wav file.
The message may take a few seconds to play since it must first be downloaded to the media player.
Call Me/Meet Me enables you to listen to voice messages on your telephone instead of your PC speakers for increased privacy.
Call Me: If you program a "Call Me" number in the Settings tab, the "Call Me" button is displayed on the Messages tab. When you click the button, the system will dial the programmed number. After answering the call, you can listen to your messages.
Meet Me: If you do not program a "Call Me" number, the "Meet Me" button is displayed on the Messages tab. When you click the button, the system will prompt you to call in to your voice mailbox and log in. After logging in, you can listen to your messages.
To play a message over the phone using Call Me/Meet Me:
In the Messages tab, select the message.
Click Call Me or Meet Me, and then follow the prompts on your screen.
Notes:
Confidential messages are accessible only through the Call Me/Meet Me feature.
If you are playing a message in the Web View using the Call Me feature and want to use the Outlook Client Plug-in (OCP) in Microsoft Outlook to play another Call Me message, make sure you first end the Call Me session in the Web View. Otherwise, the current Call Me session will close and not play. Also, your web browser and Web View will close, and you will have to open a new browser to log back in to the Web View.
When you click the link in the email notification you receive, your default web browser opens a page from which the voice message will be automatically downloaded. For security or compatibility reasons, the message may not be automatically downloaded. In this case, you can manually click the link provided. After the message is downloaded, it is played back by your default media player. If your browser security policy prevents the page from closing automatically, you will have to close it manually.
To record a phone conversation
Press the "Record" softkey on your phone.
Note: For more information about using the Record-A-Call feature with softkeys, refer to the NuPoint Unified Messaging User Guide on Mitel OnLine.
Once the call is completed, you can choose to keep or discard the recording. If you choose to keep the recording, it will be stored in your mailbox, with a cassette tape icon to identify it as a RAC message. You can play the recorded message in the same way as a voice mail message.
To read a fax, click on the "Play" icon or message link.
You can print the fax document from a TIFF viewer (depending on your system setup).
Note: For information about TIFF viewers, see System Requirements.
You can reply to a voice, RAC, or fax message with an e-mail message.
Note: You can only reply to a fax that was sent to you from an internal line.
Select a message, and click Reply.
To include the original message with the forwarded message, select the Include original message in reply? check box.
Type your message, and then click Send.
The email message that you receive when you get a voice mail includes the caller's phone number. Most mobile devices recognize the number as a phone number and highlight it. You can select or click the phone number to place an outgoing call to that number. Note: the corporate mail server must be reachable from the mobile device's carrier network.
To forward a voice, RAC, or fax message as an e-mail attachment:
Note: You cannot add additional voice recording to a voice or RAC message, and you also cannot add additional fax content to a fax message for forwarding. You can only send an e-mail with the forwarded message as an attachment. Messages are forwarded in the encoding format that was in use when the message was sent.
Select a message, and click Forward.
Enter the e-mail address(es) of the recipient(s).
If you do not want to include the original message with the forwarded message, clear the Include original message in reply? check box.
Type your message, and then click Send.
To send a fax from your mailbox to a NP-UM mailbox or fax machine:
Note: Sending a fax from your mailbox using this procedure will send it as a fax, while using the Forward a Message procedure will send it as an e-mail attachment.
Select the fax, and click Forward Fax.
Enter one or more NP-UM mailboxes or fax numbers (separate multiple numbers with commas).
Click Send.
Note: No confirmation dialog will be displayed. If the fax could not be sent, you will receive a receipt in your voice mail advising you of the failure.
To save a message to the Inbox folder of your e-mail client, select the message, and click Save. Messages are saved in the encoding format that was in use when the message was sent.
Select the message, and click Delete.
Note: You can select the check box in the message title bar to select ALL messages for deletion.
